TRASHCASE — PRIVACY NOTICE
Last updated: 30 October 2026
1. Our approach to privacy
Trashcase is an independent cultural media platform that aims to provide writers with an open space to share their ideas, creative experiments, criticism and written work.
We respect the privacy of our authors, readers and website visitors. We collect and use personal data only to the extent necessary to operate the website, communicate with authors and publish works on the website.
We do not collect personal information simply for the sake of collecting it, nor do we automatically use authors' contact details for advertising or marketing purposes.
2. Who is responsible for your personal data?
The website operator responsible for processing personal data in connection with Trashcase is Villem Saar.
Contact: villem.saar@artun.ee
The website is hosted on the Wix.com platform. Wix may process technical and other data necessary for the operation and security of the website as a service provider, in accordance with its own privacy policies.
3. What information do we collect?
Depending on how you interact with Trashcase, we may process the following information.
When you submit a text or send us an email:
- Your name or pseudonym.
- Your email address.
- The text, files and other materials you submit.
- The contents of our correspondence and any additional information you choose to share with us. This information will never be shared publicly, unless explicitly agreed by both parties.
- Your author biography, CV or portfolio link, if provided.
When you visit our website:
- Technical information necessary for the website to function and remain secure.
- Information collected through cookies or similar technologies, depending on the website's settings and your preferences.
- Information about website usage, if relevant tracking or analytics tools have been integrated into the website.
We do not require you to provide your home address, personal identification number, telephone number or other information that is not necessary for submitting your work.
Please avoid sending us sensitive personal information unless it is genuinely necessary for the content of your submission.
4. How do we use your information?
We use your personal data only for relevant purposes, including:
- Receiving, reviewing and organising submissions.
- Communicating with authors and responding to enquiries.
- Publishing the name or pseudonym agreed upon with the author.
- Maintaining the functionality and security of the website.
- Fulfilling legal obligations.
- Protecting copyright and other legitimate interests where necessary.
We do not publish your private email address or other contact information on the website without an appropriate legal basis.
5. Legal basis for processing
Depending on the circumstances, we process personal data on one or more of the following legal bases:
- Taking steps at your request and arranging publication – processing necessary to respond to your submission and organise publication.
- Legitimate interests – for example, managing the platform, ensuring security, organising correspondence and handling legal claims, provided these interests do not override your rights and freedoms.
- Consent – where consent is required for a particular type of processing.
- Legal obligations – where applicable law requires us to retain or disclose certain information.
Where processing is based on consent, you may withdraw your consent at any time. Withdrawal does not affect the lawfulness of processing carried out before the withdrawal.
6. Do we share your information?
We do not sell your personal data.
We may make information available to third parties only to the extent necessary for operating the website or fulfilling legal obligations.
For example:
- Wix may process technical and other information necessary for the operation of the website.
- Our email service provider may process information necessary to deliver and store correspondence.
- We may disclose information to competent authorities where required by law.
Service providers may process data outside the European Economic Area. In such cases, any transfer of personal data is subject to the applicable data protection requirements and appropriate safeguards.
We do not add personal data to third-party marketing lists or share authors' contact details with other authors without an appropriate legal basis.
7. How long do we retain your information?
We retain personal data only for as long as necessary to fulfil the purposes for which it was collected or to comply with legal obligations.
- Unpublished submissions and related correspondence: We retain them for as long as necessary to review the submission and organise publication. If a submission is not published, we delete the materials within a reasonable period (usually until the publication of the next edition of Trashcase, but no longer than 6 months), unless there is another justified reason to retain them.
- Published texts: These may remain available on the website and in the archive for the platform's cultural and editorial purposes, based on the author's publication permission. This does not mean that private contact details are retained indefinitely.
- Technical logs and cookies: Retention periods depend on Wix settings, the services used and the type of cookie.
- Information related to legal obligations: We retain such information for as long as required by law or necessary to resolve a particular matter.
8. Cookies and website functionality
Trashcase's website is built and hosted using the Wix.com platform. Wix uses cookies and similar technologies to ensure the functionality, security and performance of websites.
Additional cookies or third-party tools may also be enabled on the website. Their use depends on the website's actual configuration.
Before publishing this notice, we will review Wix's privacy and cookie settings to establish which cookies are actually used by the website. Where non-essential cookies are used, we will implement an appropriate consent mechanism where required.
You can manage cookies through your browser settings. Blocking essential cookies may affect how the website functions.
For more information about cookies on Wix websites, visit [Wix's official guide](https://support.wix.com/en/article/cookies-and-your-wix-site).
9. Your rights
Under applicable data protection laws, you may have the right to:
- Request access to your personal data.
- Request the correction of inaccurate or incomplete information.
- Request the deletion of your personal data.
- Request the restriction of processing.
- Object to certain types of processing.
- Request data portability where applicable.
- Withdraw your consent where processing is based on consent.
- Lodge a complaint with the competent data protection supervisory authority.
These rights are not absolute. For example, we may be unable to delete certain information if we are legally required to retain it or have another valid legal basis for doing so.
Requests to remove published texts are handled separately, taking into account the author's rights, the publication permission granted and other applicable legal requirements.
To exercise your rights, contact us at trashcase.text@gmail.com. Please describe your request as clearly as possible. Where necessary, we may ask for reasonable additional information to verify your identity.
10. How do we protect your information?
We take reasonable technical and organisational measures to protect the information we receive against unauthorised access, loss, misuse and disclosure.
However, since the website and email services also depend on external service providers, we cannot guarantee absolute security.
11. Changes to this Privacy Notice
We may update this Privacy Notice if our activities, the services we use or our legal obligations change.
The latest version will be published on the website together with its revision date.
